POLICY SNAPSHOT
• Cancel ≥24 hours before appointment: refundable (less non-recoverable third-party costs).
• Cancel <24 hours or no-show: service fee may be forfeited.
• Travel fees are non-refundable once travel begins.
• After-Hours premiums (7:00 PM–2:30 AM) still apply on late cancels/no-shows.
• RON includes one notarized signature; tech/ID readiness is required.
• Apostille: after submission to government/courier, fees are non-refundable.
• Notary Fair events: 2-hour base retained if cancelled late.
DEFINITIONS
“Appointment” means any scheduled service (Mobile, RON, Corporate/Business, Estate/POA, Loan Signing, Bedside, Apostille consult, or Notary Fair). “Business day” excludes weekends and U.S. holidays.
- HOW TO CANCEL OR RESCHEDULE
Email notaryty@legaltender.com or reply to your booking confirmation with your name, service, date/time, and phone. Rescheduling is subject to availability. Late reschedules may be treated as cancellations under this Policy.
- DEPOSITS / RETAINERS
Certain services (e.g., Corporate/Business on-site, Notary Fair, Apostille Concierge) may require a non-refundable retainer applied to the final invoice.
- GENERAL APPOINTMENTS (MOBILE, RON, ESTATE/POA, LOAN, CORPORATE/BUSINESS, BEDSIDE)
a) Cancel ≥24 hours before start time: Service fee is refundable, minus non-recoverable third-party costs already incurred (e.g., parking/tolls, printing, courier labels).
b) Cancel <24 hours before start time or No-Show: Service fee may be forfeited. If travel had begun, travel fees remain due.
c) Rescheduling: ≥24 hours—allowed without penalty (once per appointment window). <24 hours—treated as a late cancellation (fees may apply).
d) Wait Time & Grace Period: 10-minute grace. After that, wait time may be billed per our price list.
e) Document/ID Readiness: If we must refuse or stop due to lack of valid ID, incomplete/improperly prepared documents, or inability to verify capacity/willingness, travel/time/platform fees already incurred remain due.
- AFTER-HOURS (7:00 PM–2:30 AM)
After-Hours premiums apply as posted. Late cancellations and no-shows during After-Hours still incur the premium. Conversions (e.g., RON → Mobile) are billed at the applicable After-Hours rates.
- RON — SPECIAL CONDITIONS
a) Technology & ID Proofing: You must have a working device (camera/mic), stable internet, supported browser, good lighting, and pass KBA/credential analysis within the platform’s allowed attempts.
b) Re-Attempts: One ID/KBA attempt is included. Additional attempts require an “ID-RESET” fee per our price list. If a session fails due to client tech/ID issues, platform/time costs remain due.
c) Recipient Acceptance: Clients must verify whether the recipient accepts RON. If RON is not accepted, we can convert to mobile/wet-ink at the applicable rate; price differences apply.
d) Recording & Compliance: Required audio/video recording and logs are part of the legal record and are not grounds for refund once a session begins.
- MOBILE TRAVEL & ONSITE CONDITIONS
a) Travel Fees: Distance-based travel fees are due as posted and are non-refundable once travel begins. Parking/tolls are billed at cost with receipt.
b) Location/Access Changes: If the service address changes or access is unavailable at arrival, we may cancel onsite; travel/time costs remain due and a new appointment may be required.
c) Safety: If the location is unsafe, we may cancel onsite; fees already incurred remain due.
- APOSTILLE SERVICES
a) Apostille Preparation — Zoom Consult: The consult fee is refundable if canceled ≥24 hours before the session; once the consult occurs, the fee is earned.
b) All-In Apostille Concierge (Standard/Premier): Includes review, notarization if required & accepted (RON or local mobile ≤10 miles), state apostille fee, submission/tracking, and domestic return shipping for one document.
c) Before Submission: If you cancel after intake but before we submit to a government office, we may refund the service portion less non-recoverables (e.g., certified copies obtained, courier labels).
d) After Submission: Once documents are submitted to a government office or courier, fees are non-refundable.
e) Timelines: 7–10 or 3–5 business days are targets measured after we receive ready documents and required approvals; government/courier delays are not grounds for refund.
f) Vital Records / International: Certified vital records, international postage, and embassy/legalization are non-refundable once ordered.
- NOTARY FAIR / GROUP SIGNING EVENTS
• Base Event (2 hours) is required to secure the date.
• Cancel ≥72 hours before event: refund of base, less non-recoverables (e.g., pre-printing, reserved parking).
• Cancel 24–72 hours before: 50% of base retained.
• Cancel <24 hours or no-show: 100% of base retained.
• Overage beyond scheduled time: billed in 15-minute increments.
• Travel within 20 miles included; parking/tolls at cost; beyond 20 miles quoted in advance.
• Witnesses/Scanbacks/Courier for events: optional add-ons, non-refundable once provided.
- REFUNDS — METHOD & TIMING
Approved refunds are returned to the original payment method and may be reduced by a 5% administrative processing fee. Processing times depend on your bank/processor. We do not refund government fees, courier/postage, printing, parking/tolls, or platform costs once incurred.
- CHARGEBACKS & DISPUTES
Please contact notaryty@legaltender.com to resolve issues quickly. Unauthorized or unfounded chargebacks may be contested with booking logs, GPS stamps, platform records, audio/video (RON), and courier receipts, and may incur a $50 dispute administration fee plus recovery of processor penalties and reasonable collection costs.
- FORCE MAJEURE
We are not liable for delays/cancellations caused by events beyond our control (e.g., platform outages, government closures, weather, emergencies). We will offer the next available reschedule.

International Executive Concierge – Cancellation Policy
Because international executive travel requires significant advance planning, schedule blocking, and non-refundable travel purchases, the following cancellation terms apply to all International Executive Concierge bookings:
Deposit & Booking
• A 50% deposit of the professional fee is required to reserve your date and initiate travel planning.
• The remaining balance is due in full before departure.
Client Verification & Readiness
• It is the client’s responsibility to verify with the receiving country, institution, or counterparty whether RON notarization or wet-ink notarization is required.
• Delays caused by incomplete verification, incomplete documents, or client-side changes do not alter the cancellation terms below.
Cancellation Before Travel is Booked
• If you cancel 10 or more days before the planned departure and no flights or hotels have been purchased, your deposit is non-refundable but may be applied one time as a credit toward a future service of equal or greater value within 6 months, subject to availability.
Cancellation After Travel is Booked
• Once flights, hotels, or other travel arrangements are purchased, all such travel costs are non-refundable and are the client’s responsibility.
• If you cancel after travel has been booked, but before departure, your deposit and any booked travel costs are non-refundable.
Cancellation Within 10 Days of Departure
• Cancellations made within 10 days of departure are fully non-refundable (professional fee + any travel already purchased), due to schedule blocking and limited availability.
After Departure / In-Progress Travel
• Once travel has begun, there are no refunds and no rescheduling, regardless of changes on the client or recipient side.
Crypto Payments
• For payments made in cryptocurrency, all amounts are considered final once confirmed on-chain. Refunds, if any, are processed in USD-equivalent value as determined by Empire Notary at the time of review, not at the original crypto price.
Travel Fees
• Travel fees and expenses are non-refundable once travel begins and may include flights, hotels, ground transportation, airport parking, and couriers.
